International business trips: what documents to bring?

The first step is to prepare in advance. The golden rule here is to know and validate all the required documents and also the recommended ones, according to your connecting country (if any) and destination.

Documents for international travel 

For every international trip, there is a group of essential documents that are mandatory and their absence can harm your travel experience.

Valid passport (or RG, for travel within Mercosur)

The passport is a traveler’s most important international document. That’s who you can identify with anywhere in the world.

However, there are some basic rules regarding the validity of the document that you need to pay attention to. If you have any doubts about this, check out this article about the rules of each country, or group of countries, before traveling and check the validity of your passport!

Visa, if necessary!

The visa is an authorization that the country of destination grants to the Indian traveler so that you can enter (and stay) the country for a certain period of time.

Each country establishes a specific rule for obtaining visas. Some countries also do not require a visa for Indian travelers.

Are we in the post-pandemic? This is still up for debate. Therefore, check each country’s rules on the requirement of proof of vaccination against COVID-19 and yellow fever.

Travel insurance policy

Travel insurance operates at the national and international levels, guaranteeing the necessary coverage so that tourists are not left homeless.

In general, travel insurance must be taken out at least 72 hours in advance and is effective from the moment of departure.

Proof of accommodation and return air ticket

For some countries, especially those outside Mercosur, it is necessary to prove where you will be staying and the date of your return through proof of accommodation and the return ticket, already purchased, within the maximum period of stay allowed. Therefore, before traveling, check the rules of the destination country to avoid problems.

How to board with RG to Mercosur countries

Did you know that it is possible to travel between Mercosur countries without a passport? That’s right! In this case, the traveler must carry an identity card (RG) in good condition and whose photograph still fully identifies the holder.

Although the identity document (RG) does not have an expiration date by law, airlines, banks and notaries can deny identities issued more than 10 years ago, as a security measure.

If there is any doubt as to the state of conservation, as to the photograph or as to the date of issuance of the identity, the chosen airline must be consulted in advance, avoiding inconveniences on the day of boarding.

Important:

CNH, OAB, CRM, and certificates are not accepted as a travel document for entry into Mercosur countries!

Car rental and driving permits abroad

If you intend to rent a car abroad, you need to issue an International Driving Permit (PID). According to the DMV website,

The International Driving Permit (PID) is issued so that a qualified driver in India (with a Driving Permit or a definitive CNH) can drive in the signatory countries of the Vienna Convention and in the countries that comply with the principle of reciprocity. 

There are countries that accept the Indian Driver’s License (CNH) upon presentation of a certified translation of this document. If you don’t know if the country you will be traveling to accepts the PID or the Indian CNH with a sworn translation, check out this list.

Return to India after traveling internationally

Upon returning to India, you will also need to issue certificates and submit medical examination reports. On the Ministry of Tourism website, you will find all the detailed rules, but we have prepared a summary for you:

Return via air transport

  • The entry of the international traveler, Indian or foreign, is authorized, provided that, before boarding, proof of vaccination, printed or electronically, is presented to the airline responsible for the flight.
  • The requirement to present proof of vaccination does not apply in cases:
    • Of travelers with a health condition that contraindicates vaccination, as long as it is attested by a medical report;
    • Travelers who are not eligible for vaccination according to age , according to criteria defined by the Ministry of Health in the National Plan for the Operationalization of Vaccination against Sars-Cov-2 (covid-19) and published on the Ministry of Health website;
    • From travelers who enter for humanitarian reasons ;
    • From countries with low vaccination coverage, as disclosed by the Ministry of Health on its website;
    • Of Indians and foreigners residing in Indian territory who are not fully vaccinated.

In these cases, these travelers must present to the airline responsible for the flight, before boarding, the document proving the carrying out of a test to screen for infection by Sars-Cov-2 (covid-19), with a negative or undetectable result, of the type antigen test or RT-PCR laboratory performed one day prior to departure.

Return via ground transportation

  • The entry into the country, by land, of the traveler of international origin, Indian or foreign, is authorized, provided that proof of vaccination is presented at the land control points.
  • The receipt must be presented, as a condition for boarding, to those responsible for international road and rail passenger transport services.
  • The requirement to present proof of vaccination does not apply in cases:
    • Travelers with a health condition that contraindicates vaccination against Sars – Cov-2 (covid-19), provided that it is certified by a medical report;
    • Travelers who are not eligible for vaccination according to age , according to criteria defined by the Ministry of Health in the National Plan for the Operationalization of Vaccination against Sars-Cov-2 (covid-19) and published on the Ministry of Health website;
    • From countries with low vaccination coverage, as disclosed by the Ministry of Health on its website;
    • From travelers who enter for humanitarian reasons ;
    • To the traffic of border residents in twin cities, upon presentation of a border resident document or other supporting documents, provided that reciprocity in the treatment of Indians by the neighboring country is guaranteed;
    • The reception of people in a situation of vulnerability resulting from a migratory flow caused by a humanitarian crisis for the execution of emergency assistance measures in Indian territory, according to the available means, provided that the situation of vulnerability is recognized by an act of the President of the Republic, in terms of the sole paragraph of art. 3 of Law No. 13,684, of June 21, 2018, and in compliance with current immigration legislation;
    • To the cargo transport worker, including driver and assistant, provided that such workers prove to adopt the personal protective equipment and measures to mitigate contagion indicated by Anvisa;
    • To Indians and foreigners residing in Indian territory who are not fully vaccinated.
